PolicySearchUSA ("PolicySearchUSA," "we," "our") operates under a strict permissible-purpose framework for all insurance policy search activities. This policy describes how we handle information received from clients submitting search requests, and how we treat information returned from data sources.
Information we collect from requestors
When you submit a search request, we collect: name, firm/company, work email, phone, the search target (license plate, VIN, business name, or other identifier), and your stated legal basis (case file, claim file, retainer, court order, or other permissible purpose under GLBA or DPPA). We also log IP address and browser details for audit-trail purposes.
Information returned from sources
Information returned from data sources (DMV records, ISO ClaimSearch, NICB, state insurance databases, carrier APIs) is treated as confidential, restricted to the specific case file or claim file you identified, and may only be used for the permissible purpose you disclosed.
Compliance frameworks
We operate under:
- Gramm-Leach-Bliley Act (GLBA) — for any nonpublic personal financial information
- Driver's Privacy Protection Act (DPPA) — for any DMV-sourced data
- State PI licensing requirements — including Florida FDACS A1800135
We do NOT support searches motivated by stalking, harassment, personal disputes, or curiosity. We reserve the right to decline any request that does not establish a clear permissible purpose.
Data retention
We retain search request records and certificates of compliance for seven (7) years for audit, dispute resolution, and regulatory compliance purposes. Returned policy data is delivered to the requesting attorney/adjuster and not retained on our public-facing systems beyond delivery confirmation.
Security
Transmission is encrypted via TLS 1.2 or higher. At-rest storage uses AES-256 encryption. Results are delivered via your portal account or PGP-signed email. Access to historical records is restricted to authorized personnel only.
Your rights
You may request access to records of search requests you have submitted, request correction of factual inaccuracies, or request deletion of records that have aged out of the 7-year retention window. Email Operations@policysearchusa.com.
Third-party data sources
Our searches access third-party databases including state DMV systems, ISO ClaimSearch, NICB, public records aggregators, and carrier APIs. We do not control the privacy practices of these sources. The use of returned data is subject to the source's own terms and any applicable federal and state law.
Children
Our services are not directed to anyone under 18. We do not knowingly collect information from minors.
Updates
We may update this policy as needed. The "last updated" date above reflects the current version. Material changes to the framework will be communicated to existing clients.
